ABOUT THE CLIENT
The client is an organization using Microsoft 365 for staff email and workplace devices. Its environment included user accounts, departmental mailboxes and a mix of company-owned and personal devices. Vionsys was engaged to review mailbox configuration and access, then extend support to Windows device management and Apple device management.
OVERVIEW
What began as a mailbox conversion request became a broader tenant remediation project. Discovery showed that all 51 existing mailboxes were already shared, paid subscriptions had lapsed, and most shared mailboxes lacked delegated access. Vionsys revised the implementation plan around the actual environment and delivered licensed user mailboxes, permission changes, licence recovery and verified mail flow.
The next phase introduced centrally managed Windows laptops, encryption and security policies, automated provisioning configuration for spare laptops, and the certificate required for Apple device management. Both pilot laptops passed all configured security checks. All agreed project deliverables are complete, and Vionsys continues to provide ongoing support. Zero incidents have been reported throughout Vionsys’s work on the project.
CHALLENGES
· Mailbox configuration did not match the original brief: all 51 mailboxes were shared, while 49 lacked delegated access and staff were sharing mailbox passwords.
· Lapsed subscriptions and unnecessary licence assignments constrained the planned mailbox changes. Security Defaults were enabled, but only 9 of 55 users had registered for MFA at discovery.
· The tenant lacked an emergency administrator account. An address alias conflict and an unlicensed conversion also posed risks to mail routing and mailbox retention.
· None of the 74 linked devices were centrally managed before the device phase. Encryption, recovery-key storage and meaningful compliance verification needed to be established.
· Apple enrollment was blocked by a missing approval certificate and an unsuitable Apple account. Windows policy synchronization and Secure Boot settings also required follow-up.
SOLUTION
Tenant assessment and controlled implementation
Vionsys reconciled mailbox, identity, subscription and access records before changing the environment. Work proceeded in approved batches with before-and-after evidence, verification checks and documented rollback paths. Administrator safeguards and licence checks prevented unsafe conversions.
Mailbox restructuring and delegated access
The agreed list of 30 mailbox deliverables was completed through 29 mailbox conversions and one new mailbox. Vionsys assigned the required licences, applied 37 delegate grants and cleared obsolete assignments. An SMTP alias conflict was resolved following client instruction, and forwarding settings were reviewed across 68 mailboxes. Approved support forwarding retained a copy in the original mailbox.
Licence recovery and administrator resilience
Twelve Business Premium licences were recovered from shared mailboxes and confirmed leavers. Four redundant paid subscriptions covering six seats were identified for a client billing decision. Vionsys also created an emergency administrator account and addressed the agreed identity and access requirements.
Windows security and device management
Two laptops were enrolled in a controlled pilot. Policies required disk encryption, a six-digit PIN and automatic screen locking after 15 minutes, with Office application deployment configured. Vionsys verified encryption and organizational storage of recovery keys, then guided users through safe Secure Boot enablement. Both laptops passed every configured security check.
Automated provisioning and Apple device management
Vionsys configured automated setup for five spare Windows laptops, including security policies, device naming, applications and standard-user access. The Windows Autopilot pre-provisioning workflow included a device group, deployment profile and Enrollment Status Page settings. Vionsys resolved hardware registration and preparation issues, registered and validated three laptops, and completed the technician phase through successful Intune enrollment and Reseal for all three. End-user setup guidance and a device assignment plan supported handover. For Apple management, Vionsys completed the enrollment certificate, iPad security policies and agreed enrollment activities. All agreed project deliverables are complete.
Documentation and support
The mailbox phase produced 18 reusable PowerShell scripts with Preview, Apply, Verify and Rollback modes, plus 13 documents. Change records linked authorization, evidence and recovery procedures. Vionsys continues to provide Microsoft 365 and Intune support through Microsoft Teams and screen-share sessions, including deployment status reviews, user setup coordination, policy diagnostics and configuration assistance. All agreed implementation activities are complete, with zero incidents reported throughout the engagement.
IMPACT
· Individual sign-in and delegated mailbox access provided a structured alternative to shared-password use for the remediated scope.
· Recovered licences enabled further mailbox work using available entitlements, while redundant subscriptions were surfaced for billing review.
· The two pilot laptops gained verified encryption, PIN, screen-lock and Secure Boot controls, while repeatable provisioning configuration supported the completed device rollout.
· Recorded approvals, evidence and rollback procedures made the implemented tenant changes traceable and reusable.
TECHNOLOGY STACK
