ABOUT THE CLIENT
The client is a multi-warehouse retail and distribution organization managing inbound goods, product catalogs, inventory placement, e-commerce orders and customer deliveries. Multiple operational roles - administrators, supervisors, forklift operators and delivery personnel - needed a shared system with clear access boundaries and real-time status visibility.
OVERVIEW
Warehouse work spanned several connected activities: setting up physical storage locations, maintaining products and suppliers, recording expected inbound shipments, directing forklift putaway, importing customer orders and closing deliveries with proof of receipt. Managing these activities without a connected workflow would make it difficult to maintain consistent ownership, location accuracy and end-to-end traceability.
Vionsys designed and implemented a centralized WMS that gives each user a purpose-built dashboard while keeping warehouse, inventory and order information synchronized. The platform connects the inbound and outbound lifecycle so that teams can move from expected receipt to confirmed storage, then from assigned order to signed delivery, within one operational system.
CHALLENGES
1. Role and Access Complexity: Different teams required different permissions, dashboards and warehouse assignments without exposing unnecessary administrative functions.
2. Physical Layout Digitization: The system needed to represent warehouse rows, columns, rack levels, capacities and unique storage-location codes in a usable visual map.
3. Master-Data Consistency: Categories, suppliers, SKUs, pricing, weight and dimensions had to remain structured while supporting both manual entry and bulk updates.
4. Inbound Traceability: Expected goods needed to be recorded by purchase order, container, product, supplier and quantity before physical arrival.
5. Putaway Coordination: Supervisors needed to turn received inventory into clear forklift tasks with traceable start, completion and destination status.

7. Role-Based User Administration: Administrators can create, edit, disable and re-enable users; assign multiple roles; and restrict each user to approved warehouses. Forklift and delivery users receive simplified, task-specific dashboards.
8. Configurable Warehouse and Location Mapping: Admins can create warehouses with codes, addresses and capacity, then use a layout builder to define rows, columns and rack levels. The system generates unique bin codes and visualizes each slot as Empty, Partial, Full or Overfilled.
9. Product, Supplier and Category Management: Teams can maintain product categories and suppliers, link them to SKUs, capture commercial and physical attributes, and use CSV templates for bulk product creation or updates.
10.Structured Inbound Receiving with IMDR: The Inbound Material Delivery Record captures the destination warehouse, purchase order, notes, containers, product lines, expected quantities and supplier information. Validations prevent incomplete records from being submitted.
11.Barcode-Driven Forklift Job Orchestration: Once container barcodes are confirmed, supervisors can assign forklift operators. The system automatically creates putaway jobs with source, destination, product, quantity and status, while the warehouse map updates as jobs are completed.
12.Connected Order and Delivery Fulfilment: The platform supports Magento order import and inventory synchronization. Admins assign a source warehouse and delivery person, supervisors monitor progress, and delivery staff confirm pickup, add execution notes, upload a customer signature and mark the order Delivered.
